Sample lists

A sample list is a list of potential respondents, containing either

The sample lists window displays all the sample lists that have been added to your CCA installation. To open this window, click contact lists in the ribbon.

Sample lists can be created using AskiaLister.

The window's columns are as follows (note that some fields may be hidden; you can right-click in the column headings to select which fields appear):

Sample list statuses

The various possible statuses for a sample list are as follows:

Status Description

image013 Stopped

The sample list is stopped.

image014 Running

The sample list is running - its fieldwork is live.

Running (Idle)

The sample list is running, but no agents are currently connected.

sample_list_status_running_brief Running Brief

The sample list is running in brief mode, for agent training. In this mode, no data will be recorded.

A list can be set to run in brief mode in a task's dialling properties (and can be over-ridden in the settings for an outbound group).

sample_list_status_do_not_contact_list Do-Not-Contact List

This is a do-not-contact sample list. This list contains phone numbers and/or email addresses of people who don't want to be contacted again for a survey. A do-not-contact list can be associated with more than one sample list, allowing you to share the same do-not-contact list between tasks.

Loading

The list is being updated by CCA after the survey settings have been changed.

Exporting

The list is currently in synchronisation mode.

Sending invitation mail

Invitations are currently being sent by email (for a CAWI survey).

Sending reminder mail

Reminder emails are currently being sent (for a CAWI survey).

Pause

The sample list is paused because mails are being sent out (for a CAWI survey).

Waiting

An SMTP server is unavailable or is busy with another current mailing (for a CAWI survey).

The Ribbon (Lists tab)

The lists tab of the ribbon (available when the sample lists window is active), contains the following commands:

properties Properties

View or edit the properties of the selected list.

duplicate-large Duplicate

Create a copy of the selected item. This is given the same name as the selected item, but with "- Copy" appended to the name.

delete Delete

Delete the selected list.

report-run(1) Run Report

Run one of CCA's Crystal Report statistics. In the sub-menu, select the specific report you wish to run for this sample list. Depending on the report type, you may be prompted to specify information, such as a date or group name. When the report has finished running, it appears in the Crystal Reports viewer.

calls-start Start Telephony

Begin the selected sample list's target fieldwork.

calls-stop Stop Telephony Stop the selected list (i.e. halt any fieldwork).
calls-no-small  No Calls? Get a report from CCA on why the selected sample list is not dispatching calls to agents.
mailing-start Start Mailing

Issues invitations by email to individuals in the sample list. You can specify how many invitations to send out. Enter 0 to send mails to all individuals in the list.

Note: mailing options must already be set up correctly for this command to work. A mailing template for the invitations must be defined (if it is not, you will be prompted to define one).
mailing-stop Stop Mailing Stops the sending out of email invitations on the selected list.
logging-show Show Log File

Opens the mailing log in Windows Notepad. This contains details of any mailing operations that have been carried out or the selected sample list.

You can view the mailing status in the mailing status column of the sample lists window. You can view detailed mailing statistics in the monitor window: see monitor below.

list-monitor(1) Monitor

View the selected list's statistics. The monitor window appears.

appointments Appointments

View and administrate any appointments taken for addresses in the selected sample list.

contact-list-find-edit Find/Edit Contact

Find a specific address in the selected sample list. The find sample dialog appears.

You can also use this function to find a specific address in the selected sample list that has been abandoned due to the outcome of a previous call (e.g. no answer, or the interview was finished) and then add it back into the pool of numbers that can be contacted.

calls-find%281%29 Find Call

Opens the find call(s) window, which allows you to search for calls and view their most relevant properties.

lst-export Export to LST

Synchronises information recorded for each call back to the .lst file. There are two options:

  • Select remote file accessible by CCA: The list will be synchronised on the server side (on the computer running CCA). Note that you will only be given this option if your account has been granted the enable FTP functionality restriction. If you do not have this restriction, you will simply be asked to select a local file, as described below.

  • Select Local file: The list will be synchronised on the supervisor side (on the computer running Supervisor).

Note: This option applies only to sample lists with a SQL database as their target (sample lists with a .lst file as their target always use the .lst file to record call information, so synchronisation with the list file is not applicable). We recommend using a SQL database as the target for large sample lists.

The following information is synchronized: the AskAppel table, which includes agent ID, state, substate, call ID, date and time of call; the AskListe table, which includes appointment message, last state and last substate. The fields AskPeneo, AskSkillPeneo and AskQuotaReached fields (if LST is Access 2000 or later) are also exported.

update-external-data Update with External Data

This command updates all dynamic fields in the list according to the current contents of the sample source.

For example, imagine you have initialised a list with 100 contacts. From version 5.2, the list is automatically converted to SQL. Later, you want add some contacts to this list, or modify some values in an existing field. You open the source LST file in access, and add to or edit the contact data. Then, in CCA or Supervisor, you right-click the list and choose update list with current external data.... All new/updated contact data is automatically transferred to the SQL sample list.

When you select this command, the following dialog appears, allowing you to select which fields will be updated:

Update_with_external_data

You can update all the fields in your database, all dynamic fields, all export fields, or specific fields. Fields are designated as dynamic or export fields in the external data details dialog

Note: Prior to version 5.2, this function could be used only when the sample list is based on a database and not a LST file. From version 5.2, this function is available even when the sample list is based on a LST file.

Context (right-click) menu

The context (right-click) menu gives you access to the following features:

Command Function

New sample list

Insert a new sample list.

Alternatively, you can drag and drop a LST file onto the sample lists window to insert a new sample list.

New do-not-contact list

Insert a new do-not-contact list (a list containing phone numbers or email addresses of people who don't want to be contacted again for a survey).

Copy

Copies the selected sample list to the clipboard. It can then be pasted back into the list, allowing you to quickly create another list with the same settings.

Paste

Creates a new sample list with the same settings as the list copied to the clipboard (see copy above).

Delete

Delete the selected sample list.

Telephony

This command has three sub-commands:

  • Start - Begin the selected sample list's target fieldwork.

  • Stop - Stop the selected list (i.e. halt any fieldwork).

  • No calls? - Get a report from CCA on why the selected sample list is not despatching calls to agents.

Web

This command has five sub-commands:

Start invitation mailing...

Issues invitations by email to individuals in the sample list. You can specify how many invitations to send out. Enter 0 to send mails to all individuals in the list.

Note: mailing options must already be set up correctly for this command to work. A mailing template for the invitations must be defined (if it is not, you will be prompted to define one).

 

Start sending reminders...

Issues reminders by email to individuals in the sample list who have already been invited, but who have not taken part, in the survey. You can specify the amount of time that must have elapsed before an individual is reminded (e.g. you might want two days to have passed since the initial invitation, or last reminder, before the system sends out a reminder). You can also specify a limit on the number of emails that will be sent.

Note: mailing options must already be set up correctly for this command to work. A mailing template for the reminders must be defined (if it is not, you will be prompted to define one).

 

Stop mailing

Prevents any further email invitations being sent out for this list.

 

View mailing log

Opens the mailing log in Windows Notepad. This contains details of any mailing operations that have been carried out or the selected sample list.

You can view the mailing status in the mailing status column of the sample lists window. You can view detailed mailing statistics in the monitor window: see monitor below.

 

Switch contacts from web to telephony...

Allows you to carry out multi-mode interviewing for this sample list. Any web interviewing in progress will stop, and the list will be switched over to CATI interviewing. A dialog appears, where you must specify two options which determine which contacts in the list are switched over to CATI interviewing, and the time delay involved. You can specify:

  • the time that should elapse after a contact's last web activity (in days, hours and minutes) before they are switched;
  • whether contacts who were mailed, but never replied, should be switched to CATI;
  • whether contacts who started an interview, but never completed it, should be switched to CATI.

Appointments...

View and administrate any appointments taken for addresses in the selected sample list.

Find/Edit contact(s)...

Find a specific address in the selected sample list. The find sample dialog appears.

Export to LST...

If this option is set, information recorded for each call will be synchronised back to the .lst file at the end of the interview.

Monitor

View the selected list's statistics. The monitor window appears.

Properties

View or edit the selected sample list's properties.
